What are a Landlord's Gas Safety Inspection Duties?

Gas Safety Inspection Letters and Records

As a landlord, you are legally required to have all gas appliances and pipework in your rental property inspected by a Gas Safe registered engineer at least every 12 months.

You must also keep a record of the safety checks for 2 years and provide copies to your tenants or new tenants within 28 days of the check being carried out. Gas safety inspections are free of charge.

It's important to inform your tenants in advance that you will be carrying out these inspections, and give them plenty of notice so that they can be present if they wish. The Gas Safety (Installation and Use) Regulations 1998 state that landlords must give their tenant(s) 'reasonable' notice that an inspection is going to take place.

If you fail to comply with these regulations, you could be fined or even sent to prison.

What should a landlord's gas inspection letter to a tenant say?

Your gas safety inspection letter should include:- The date of the inspection- The time of the inspection- The name and Gas Safe ID number of the engineer who will be carrying out the inspection- A list of all the appliances that will be inspectedIt's a good idea to include a Gas Safety Record with your letter, which you can download from the Gas Safe Register website. What should a landlord do if a tenant does not allow access for the gas inspection?

If a tenant refuses to allow access for a gas safety inspection, the landlord should write to the tenant again, reminding them of their legal obligations and stressing the importance of Gas Safety. If the tenant still does not allow access, the landlord can apply to the court for an order that will allow them to enter the property.

It's important to remember that Gas Safety is not something to be taken lightly- it is a legal requirement and failure to comply can have serious consequences.

Repair and maintain gas pipework, flues and appliances in safe condition

Gas appliances must be serviced in accordance with the manufacturer’s instructions

An annual gas safety check must be carried out by a Gas Safe registered engineer on each appliance and flue

A record of each safety check must be kept for at least two years

If you live in a rented property, your landlord is responsible for Gas Safety. You should receive a copy of the Gas Safety Record
